Transformer delivery planning

Power Transformer Shipping and Site Delivery Checklist

A transformer being available is the starting point for a delivery plan. Before comparing schedules or delivered prices, agree on the shipping configuration, exact arrival point, loading and receiving responsibilities, and the work needed before energization. This checklist helps buyers request comparable quotations and identify the decisions that can delay a substation or replacement project.

Which delivery date has actually been offered?

Keep inspection access, release to ship, departure, arrival at port, arrival at site and commissioning as separate milestones. A ready-to-ship statement does not establish a needed-on-site date. A site-arrival date does not establish readiness to energize.

Define the shipping configuration before booking transport

Request the manufacturer's transport instructions and the actual shipping dimensions and weights. Identify the main tank, separately packed components and any fluid or preservation requirements. Operating weight and dimensions may differ from the transport configuration.

  • Shipping drawing, main-tank dimensions and transport weight for the offered configuration.
  • Packing list for bushings, radiators, conservator, fans, controls and other included accessories, as applicable.
  • Approved lifting and handling information for the qualified transport team.
  • Preparation, preservation and storage instructions for the specific equipment.
  • Party responsible for preparation, loading, packing, freight and any agreed transport monitoring.

Confirm site access, unloading and receiving responsibilities

Have the transport and site teams confirm the route, site entrance, receiving area and qualified unloading arrangement before dispatch. Record who supplies the crane or other agreed handling equipment and who accepts the shipment. Keep shortages or transport damage in the receiving record with the relevant delivery documents.

The applicable equipment manual controls handling and inspection. Eaton's substation-transformer instructions, for example, address checking delivered parts and visible damage before unloading. Use the manual for the actual offered equipment; this purchasing checklist is not a rigging or installation procedure.

Compare freight quotations to the same delivery point

Ask each supplier to list the included and excluded work against the same destination and equipment scope. Keep any unpriced required activity open in the comparison. Do not treat freight, offloading, assembly, field testing or commissioning as included unless the written offer says so.

  • Equipment and all agreed accessory consignments.
  • Preparation, packing and loading at the release point.
  • Transport, permits and agreed insurance scope.
  • Import-related scope when applicable to the shipment.
  • Site unloading, assembly, fluid handling, field testing and commissioning.

What happens if the transformer is delivered before it is needed?

For a stored spare or a delayed project, agree on the receiving, preservation, inspection and storage responsibilities using the applicable equipment instructions. Confirm the warranty start event, duration and conditions in the quotation. Arrival at site does not establish a new warranty beginning at energization.

Request a transformer quotation with a defined delivery scope

Send Tommy the equipment reference or required ratings, quantity, destination and needed-on-site date. Say whether you need freight only, unloading, assembly, field testing or commissioning included in the quotation. J&J confirms the offered equipment, release conditions and agreed delivery scope in writing.

Common questions

Written quotes and supporting records control unit-specific ratings, availability, condition, price, and delivery.

Does transformer delivery include unloading and commissioning?

Only when those activities are included in the written quotation. Confirm the named delivery point and the responsibility for each required site activity.

Is ready to ship the same as delivered to site?

No. Release, departure, arrival and commissioning are separate milestones with their own dependencies and responsibilities.

Can I use the operating dimensions to request a freight quote?

Request the actual shipping drawing, transport weight and accessory packing list. The shipping configuration can differ from the assembled operating configuration.

Does an unused transformer automatically have a warranty after energization?

No. Obtain the named warranty provider, start event, duration and applicable conditions for the specific offer.
